What a Monthly Marketing Report Should Include (and What to Ask Your Agency)

A monthly marketing report should answer one question: what did we get for this month’s work and budget, and what happens next? Many reports are long lists of charts that are hard to act on. A good one is short, clear and arrives on the same date every month.

Here is what a useful monthly report should include, and the questions worth asking your agency when you read it.

1. A one-paragraph summary

The report should open with a short summary in plain language: what was done, what changed compared with last month and the main decision that needs your input. If you only read one paragraph, it should be this one.

2. Leads and where they came from

How many inquiries arrived and from which channel: website forms, WhatsApp, social media, ads or referrals. When leads are saved in a CRM like GoHighLevel, this section can be built from real records instead of estimates.

3. What happened to those leads

Leads alone are not sales. The report should show how many were answered, how many booked a call or visit and how many became customers, so you can see where people drop out of the process.

4. Advertising: spend and results by campaign

If you run ads, the report should show what was spent on each platform and what each campaign produced. Ad spend is usually paid directly to the platforms, separately from the agency fee, so both should be easy to tell apart.

5. Content that was published

A list of the posts, Reels, articles or emails published during the month, with links. This is the simplest way to check that the agreed work was delivered.

6. Website and search

Visits to the website, the pages people use most, and what Google Search Console shows about how the site appears in search. Changes made to the site during the month should be listed too.

7. Automations and response time

If you use automations or an AI agent on WhatsApp, the report should confirm they are working: messages sent, conversations handed to your team and any errors that were fixed.

8. What was learned and the plan for next month

What worked, what did not and what will change next month. Every report should end with clear next steps and the date of the next report.

Questions to ask your agency every month

  • Which channel brought the leads that became customers?
  • What did we spend on ads, and what did each campaign produce?
  • Which leads were not answered, and why?
  • What will you change next month, and what do you need from us?
  • Do we have access to our own ad accounts, CRM and data?

Red flags in a marketing report

  • Only “vanity” numbers (likes, impressions) with no link to leads or sales.
  • No list of the work actually delivered.
  • Ad spend and agency fees mixed together.
  • Reports that arrive late or on a different date every month.
  • No access for you to the accounts the numbers come from.
